Deposits and Payments: For one-day tours, payments in full are required to secure reservations; for multi-day tours, deposits of $100 per person are required within seven days of booking. Additional deposits may be required for non-refundable entertainment and event tickets. Final payments are due 45 days before departure. Confirmation will be sent upon receipt of payment/deposit. Covington does not send out invoices. Please make checks payable to Covington Tours. We accept most major credit cards.

Cancellations and Refunds: This policy applies only to motorcoach tours created by Covington Tours, a division of Covington International Travel.
One-day tours: full refunds are given if Covington Tours receives cancellation notice at least seven (7) days prior to departure. There are no refunds for entertainment and event tickets.
Multi-day tours: no refunds are given within thirty (30) days of departure. In addition to our standard cancellation policy, all passenger refunds are subject to any non-refundable vendor payments such as entertainment and event tickets, hotel or restaurant charges.

Travel Insurance: We urge you to buy travel insurance to protect your vacation investment from unforeseen events such as medical emergencies, trip interruption and trip cancellation. Travel worry-free. Ask your counselor for an insurance application.

Tour Price Includes: Deluxe motorcoach transportation, a professional tour director, hotel accommodations, baggage handling for one suitcase per person, all sightseeing, guides, and attractions featured in itinerary; taxes and gratuities on tour inclusions and meals as indicated. Not included: incidental hotel charges such as telephone calls, room service, personal items and trip insurance.

Final Documents: Documents are mailed to tour participants approximately two weeks before departure.

Immigration Requirements: For travel to Canada, U.S. citizens must present proof of citizenship such as certified birth certificate with state-issued photo ID, valid passport or naturalization papers. Non-U.S. citizens must have valid passport, visa or valid U.S. alien registration card.

Gratuities: Tips to bellmen, doormen and dining room staff are included in the tour price. Gratuities for the driver and tour director are included on one-day tours, but are not included on overnight tours. The industry tipping guideline is $2 per passenger, per day for each, the tour director and the driver. Tip envelopes are provided for your convenience.

Luggage: Each passenger is allowed one suitcase, plus one carry-on. The carry-on is the passenger’s responsibility and must be stored under the seat. There is a $5 charge per bag, per hotel for extra luggage, payable to the tour director at departure.

No Smoking Policy: Smoking is prohibited on the motorcoach. Frequent comfort stops are made for smoking, stretching, etc.

Motorcoach Seating: Covington Tours assigns seats from front to rear in the order deposits are received. On one-day and Atlantic City tours, seat assignments are for the duration. On multi-day tours, seats are rotated daily. The tour director administers the rotation allowing each passenger views from different vantage points. There are no exceptions to this policy. The seat directly behind the driver is for the tour director.

Hotels and Rooms: We strive to reserve the finest hotels that are conveniently located and offer good value. Single and triple rooms are available on a limited basis. Special requests, such as smoking rooms, must be made at the time of booking but cannot be guaranteed.

Travelers with Special Needs: Travelers with special needs requiring specific assistance must discuss their needs when requesting reservations. We make every effort to accommodate, but we are not responsible if carriers, hotels, restaurants or other suppliers are unable to comply. An able-bodied companion must accompany the traveler who needs special assistance. Our staff is not equipped to provide such service.

Meals: Many meals are included providing the opportunity to sample local and regional cuisine. Coffee or tea is served with all meals. Meal codes: B - full breakfast, CB - continental breakfast, Br - brunch, L - lunch, D - dinner.

Tour Director: Except where noted otherwise, each tour is fully escorted by a professional Covington Tours director, who remains with the group throughout the tour. Our tour directors are certified by the American Red Cross in emergency first aid.

Motorcoaches and Drivers: Our wide-body, temperature controlled coaches feature reclining seats, lavatory, panoramic glare-proof windows and sound system. Our professional drivers are chosen for their experience, safety record and concern for passengers’ welfare. For health and safety reasons, only the tour director is permitted to serve refreshments on the coach.

Consumer Protection: Covington Tours is a member of the National Tour Association, which ensures tour operator integrity and tour quality.
